Frequently Asked Questions

Is my school's data secure and GDPR compliant?

Absolutely. Smart School Tracking is fully GDPR compliant. All data is hosted on secure UK servers and fully encrypted in transit and at rest. You maintain full ownership and control of your data at all times. We never share or sell data to third parties.

DPIA / Data Protection

We can provide a DPIA (Data Protection Impact Assessment) that can be adapted for your school to request access through your Local Authority. Full support will be given with this process alongside any school that needs it. Any Data Processing Agreements (DPA) can be supported as well.

Do teachers need training to use the system?

No formal training is required. The interface is intuitive and most teachers can complete a full class report within minutes of their first login. We offer responsive support and onboarding assistance to ensure you're set up for success. Video tutorials are also available for school admins and teachers.

Can we customise the reports and metrics?

Yes! Every aspect is customisable to each individual school. You can define your own metric names (Effort, Behaviour, On Track, etc.), set custom grading scales, and colour coding.

We provide a set of default metrics & definitions to get you started, but you have full control to change them.

What support do you offer?

All plans include full email support. We typically respond within a few hours during school days. We also offer personalised onboarding sessions to help you set up the system exactly how your school needs it.

How does the SEEMiS import work?

We have a dedicated guide on how to export your pupil and subject data from SEEMiS Click+Go. It basically involves running a custom report and then uploading that Excel file into our system. Check out our tutorials page for a step-by-step video guide.

How do I use the system?

The system is designed to be extremely intuitive and user-friendly, requiring very little training. However, we have created a series of short video tutorials that cover everything from setting up cycles to analysing whole-school data.
